Importing Overhead

L'import overheadallows you to add multiple records simultaneously via a pre-formatted file. This feature is ideal forsave time, avoid manual entry errorsAndensure effective integrationfinancial data in the system.

Steps to Import Overheads

1⃣ Download the File Template (Canvas)

• Go to the module“Overhead”.

• Go to tab"Import".

• Click on"Download the canvas"to recover a pre-formatted Excel file.

• The file already contains column headers to ensure correct formatting.

2⃣ Complete the File on the Computer

• Respect the order and structure of the columnsdefined in the canvas.

Mandatory fields (must be completed):

• Date(e.g.: 2024-04-02).

• Type of Overhead(e.g.: Taxes, Parking, Tires, etc.).

• Amount excluding tax.

• VAT%.

• Amount including tax.

Optional fields (can be left blank):

• Code(unique identifier for the general charge).

• Wording(description of the fee).

• Payment type(e.g.: Transfer, Cash, Check).

• Attachment(possibility of adding supporting files).

• User(name of the person who entered the expense).

3⃣ Load the File into the System

• Return to the import interface.

• Click on“Following”.

• Select the completed file from the computer.

• The system performs afirst data analysisto detect possible errors.

4⃣ Checking and Correcting Errors

• Adata previewis displayed before final import.

• If errors are detected, they will be reported (e.g.: incorrect format, missing field).

• It is then possible tocorrect the file and re-import it.

5⃣ Confirm and Finalize the Import

• If everything is correct, click on"Import".

• The systemautomatically addsoverhead to the database.

• A confirmation message appears, confirming the success of the import.
