List of customer regulations
ThereList of Customer Regulationsis a central functionality of the financial management module, providing a detailed and organized view of all settlements recorded in the system. This list allows users, such as accountants or managers, to view, monitor and analyze payments made by customers, thus facilitating the tracking of receivables, verification of balances and overall management of incoming financial flows.
Structure and Components
The interface is divided into three main sections: a statistical summary, a table of regulations, and interactive tools.
1. Statistical Summary
- Number of records:Indicates the total of the regulations listed, here6, reflecting the number of payments recorded after applying the filters.
- Total Amount:Displays the sum of settlement amounts, here246,579.36 DH(dirhams), representing the total customer payments. This amount is displayed in green for increased visibility.
Rules Table
The table details each regulation with specific columns, allowing precise consultation. Here is a description of each column:
Number:
- Role :Unique identifier of the payment in the system.
- Example:RC1772, RC1775, RC1791, etc.
- Function:Serves as an internal reference to quickly identify a settlement.
Date :
- Role :Date of receipt or registration of payment.
- Example:08/01/2025, 23/01/2025.
- Function:Provides a timeline to track payments and their recording.
Due date:
- Role :Payment deadline or deadline associated with the payment.
- Example:14/02/2025, 18/02/2025.
- Function:Indicates the date the payment was due to be finalized, useful for deferred payments or drafts.
Payment method:
- Role :Type of payment made.
- Example:Transfer, Deal.
- Function:Allows you to categorize payments according to their method (bank transfer, draft, check, etc.).
Customer:
- Role :Name of the customer who made the payment.
- Function:Identifies the debtor, essential for managing business relationships and tracking payments.
Number of invoices:
- Role :Number of invoices associated with this payment.
- Example:3 for RC1772, 1 for RC1775.
- Function:Indicates how many invoices were paid via this payment, helping to understand the scope of the payment.
Amount:
- Role :Total settlement amount.
- Example:28,109.76 DH, 46,094.72 DH, 27,000.00 DH.
- Function:Represents the total amount paid by the customer in this payment, key for the management of financial flows.
Status:
- Role :Status of the regulations.
- Example:“Closed” (displayed in green for all visible lines).
- Function:Indicates whether the payment has cleared all associated invoices ("Closed") or whether there are any pending payments.
Regulation details:
- Role :Indicates the presence of attachments related to the regulation.
- Example:A paperclip icon is present for each line, suggesting documents such as proof of transfer.
- Function:Allows you to view or download associated supporting documents for increased traceability.
User:
- Role :Person having registered or modified the regulations.
- Function:Ensures traceability and accountability of entries into the system.
3.InteractiveTools
- Filter:A “Filter” icon at the top left allows you to sort payments according to criteria (date, customer, etc.).
- Addition:A "+" button at the top right allows you to add a new regulation.
- Export:An Excel icon allows you to export the data for analysis.
- Refreshment:A circular icon allows you to update the data.
- Paging:Arrows and page numbers (for example, page 1) allow you to navigate through the list.
Functioning
- Display:All saved settlements are listed by default, with the option to scroll or paginate if the total number exceeds the initial view.
- Update:The data is dynamically updated after a regulation is added, modified or deleted.
- Interaction :Each line can be expanded (via a left arrow) to display associated invoices, as shown in a previous example (RC1772).
Advantages and Usefulness
- Overall View:The total amount and number of records provide a quick overview of payments received.
- Precise Detail:Each column provides specific information, making payments and audits easier to manage.
- Status monitoring:The “Closed” status in green helps identify finalized payments, simplifying receivables management.
- Traceability:Number, Date, User, and attachments fields provide complete transaction tracking.
