Export of Checks
Exporting checks involves extracting the data stored in the system as a file, usually in Excel (.xlsx) format, for offline use. This includes information like book number, date issued, bank, total number of checks, number used, number available, and total amount, making it easy to share with other departments (like accounting or auditing) or analyze in tools like Microsoft Excel. The interface provides intuitive icons to initiate this export, with a refresh option to ensure data is up to date.
Steps to Export Checks
Here is a detailed and structured explanation of the steps to follow to export check data, based on the interface viewed:
Access the Check Books Section:
- Navigate to the “Cheque Books” section of the financial management module. This section displays a detailed list of notebooks, including information such as number, date, bank and total amount.
Verify Data (Optional):
- Before exporting, it is recommended to ensure that the data displayed is up to date. To do this, click on the refresh icon (blue circle with circular arrow). This action updates the notebook list and ensures that you are working with the most recent information. Although not required, this step is a good practice, especially if recent changes have been made.
Apply Filters (Optional):
- If you want to export only a subset of data, use the "Filter" button to limit the list. For example, filter by date (between February and March 2025) or by bank (for example, CRÉDIT DU MAROC) to export only these notebooks.
Start the Export:
- Locate the Export icon, represented by a blue circle with the Excel logo (a white letter "X" on a blue background with a grid). This icon is usually located at the top right of the interface, next to the refresh icon.
- Click the Excel icon to start the export process. This action will automatically generate a file in Excel format (.xlsx) containing the check book data visible in the list.
Download the file:
- Once the export is started, the system will allow you to download the generated Excel file. You can save it to your computer or any other device for later use. The file will probably be named automatically, for example, "Carnets_Cheques_Export_20250324.xlsx", and will download to the default downloads folder.
