Import/Export Insurance
The export of registration data and the mass import of insurance offers fleet managers a complete and efficient solution for managing administrative and financial information related to their vehicles.
Exporting vehicle registration data allows you to consolidate all essential information regarding registration, associated costs and vehicle use in a consolidated file in CSV or Excel format. This feature simplifies data analysis, sharing and management, while ensuring compliance with legal requirements. It promotes proactive and structured fleet management, while facilitating collaboration with internal and external stakeholders, such as insurance managers, external partners and auditors.
At the same time, bulk insurance import allows multiple insurance records to be quickly added to the system using a preformatted file. This method reduces manual entry time and minimizes the risk of errors, while ensuring rapid and accurate updating of insurance contracts. It allows managers to focus on higher value-added tasks, while ensuring consistent and compliant management of insurance policies.
By combining these two functionalities, fleet managers benefit from a powerful tool to optimize the administrative, financial and regulatory management of their vehicles, while improving transparency and collaboration between stakeholders.
Mass import of insurance
Bulk Insurance Import provides users with an efficient method to add multiple insurance records simultaneously into the system, using a preformatted file. This feature is particularly beneficial for companies or fleet managers who manage a large number of vehicles and want to simplify this process in a quick and reliable manner.
By uploading a file containing all the necessary information for each insurance contract, this option significantly reduces the time required for manual entry and minimizes errors. It also guarantees rapid and accurate updating of data, allowing managers to focus on higher value-added tasks while ensuring rigorous and complete management of insurance policies.
This easy-to-use import method guarantees data consistency and compliance with system standards, thus promoting optimized management of insurance contracts.
Step 1: Download and prepare the template file
Before you start importing, you need to download a template file specifically designed for this task. This file contains predefined columns that must be respected to ensure a smooth and error-free import.
-
Download the template:
Accessible directly via the interface, this file includes mandatory and optional columns, organized in a specific order.
-
Meet column requirements:
The following fields are required for each line:
- vehicle(MANDATORY)
- Start date(MANDATORY)
- End date(MANDATORY)
-
Prepare your file:
- Make sure there is only one value per cell.
- Avoid blank lines in the middle of the file.
- Verify that the dates follow the required format (dd/mm/yyyy).
- Complete all required fields to avoid import errors.
Step 2: Load the insurance file
Once the file is correctly prepared, you can proceed to load it into the system:
-
Select file:
Click the "Browse" button to locate the file on your device, then select it.
-
Start the import process:
After selection, click "Next" to start loading the data. The system will analyze the information contained in the file and display a summary.
-
Check the data summary:
- Total number of lines in the file.
- Number of rows ready to be imported.
- Number of lines with errors to correct.
Step 3: Verifying the imported data
Before finalizing the import, a summary table displays the data extracted for validation.
-
Check reported errors:
- Errors such as missing fields (e.g. "Vehicle" or "Start Date") or incorrect formats will be highlighted.
- You can modify or complete the data directly.
-
Validate correct records:
Rows without errors will be marked as ready for import.
Step 4: Finalize the insurance import
Once the verification is complete, you can finalize the import process.
-
Click “Import”:
This action will validate the data and save the contracts in the system.
-
Import confirmation:
A message will be displayed to indicate the success of the operation, specifying that all the compliant rows have been correctly added.
This structured process allows managers to save time and significantly reduce errors when mass importing insurance. Thanks to this method, information is integrated precisely and coherently, ensuring effective management of insurance policies and rigorous monitoring of deadlines and associated costs.
Export of gray card data
The export of data relating to registration documents is a strategic tool which makes it possible to group together all the essential information linked to the management of a fleet's vehicles in a consolidated file. This file, available in standard formats such as CSV or Excel, offers an overview of administrative and financial data, thus facilitating their analysis, sharing and use.
Thanks to this mechanism, fleet managers and administrative teams can monitor in detail the registrations, associated costs, as well as the use of each vehicle. This functionality promotes proactive and structured management, while ensuring compliance with current legal and regulatory requirements.
Data export also plays a key role in collaboration between different stakeholders. It allows for smooth sharing of information with internal managers, insurance providers, external partners and even auditors. This transparency facilitates decision-making processes, whether it involves optimizing costs, planning renewals, or anticipating the future needs of the fleet.
Finally, this export helps to improve the quality of internal and external audits, by offering complete traceability of information relating to vehicles. It simplifies daily management while guaranteeing optimal visibility on the financial, administrative and operational aspects of the fleet.
