Import/Export Permit

The functionalityImport and Export of Traffic Permitsallows you to efficiently manage large amounts of data. Bulk import helps add or update permits directly from a pre-formatted file, while export generates files for analysis, auditing, or external sharing.

Step 1: Download and Prepare the Template

Downloading the template file:

• Available through the user interface.
• Standard format: Excel (.xlsx).

Columns included in the template:

• vehicle: Registration or unique vehicle identifier (required).
• License Number: Unique identifier for the permit (required).
• Start Date: Start date of permit validity, in dd/mm/yyyy format (required).
• End Date: Expiry date, in dd/mm/yyyy format (required).
• Amount excluding tax: Amount excluding taxes of the permit (mandatory).
• VAT: Applicable VAT rate or amount.
• Amount including tax: Calculated automatically if excluding tax and VAT are entered.
• Attachment: Path or reference for an attached file (optional).
• How: Additional remarks or notes (optional).

Fill out the template file:

• Respect the order and format of the columns.
• Avoid empty cells for required fields.

Step 2: Load File

Select file:

• Click the buttonBrowseto locate the completed file.

Start the import:

• Click onImport.
• The system checks the content and reports any errors (missing fields, incorrect formats).

Fix errors:

• Erroneous records are flagged for quick editing before finalization.

Step 3: Finalize the Import

Once validated, the permits are integrated into the system and appear in the list for consultation or modification.

Export of Traffic Permits

Objective:Generate a file containing saved permits for external analysis or sharing.

Step 1: Configure Export

Choose the criteria:

• Filter permits by date, vehicle, or status (e.g. expired permits).

Select file format:

Options available:

• Excel (.xlsx)
• CSV (comma separated values)

Step 2: Generate the File

Click the Export button:

• The file is generated with the information corresponding to the chosen criteria.

Download the file:

• Available for local recording or direct sending.

Data Included in the Exported File:

• vehicle
• License Number
• Start Date
• End Date
• Amount excluding tax
• VAT
• Amount including tax
• Attachment(indication or link)
