Import/Export Visits

Principle:

Import allows technical visit records to be added in bulk to the system using a file in a specific format (usually Excel).

Import Steps:

Access the Import Module:

• Click on the optionImportin the technical visits menu.

Download the Pre-Formatted Template:

• Download the template file to ensure the data follows the required structure.

Fill in the Data:

Complete the file with the necessary information:

Required Fields:

• vehicle
• Start date
• End date

Optional Fields:

• Number, Amount excluding VAT, Amount VAT, Stamps, Technical visit type, CNPAC, Technical visit center, COM TAX, CNEH, Total amount, Attachment, Comment, User.

Import File:

• Select and upload the completed file to the system.

Verification and Validation:

• The system analyzes the file for possible errors or inconsistencies.
• Correct the reported errors and retry the import if necessary.

Confirmation:

• Once the file is validated, the records are added to the system, and a confirmation message is displayed.

Export of Technical Visits

Principle:

The export generates a file containing all the data from the recorded technical visits, organized for external use (analyses, audits, sharing).

Export Steps:

Access the Export Module:

• Click on the optionExportin the technical visits menu.

Select Criteria:

• Optionally, apply filters to include only specific records.

Start the Export:

• The file is generated in Excel format.

Download the File:

• Click the link to download the file.

Exported Data:

• Fleet: Identifier or name of the fleet.
• Registration: Vehicle registration number.
• Number: Unique reference for the technical visit.
• Type Technical Visit: Periodic, exceptional, etc.
• Amounts: Excl. VAT, VAT, CNPAC, COM TAX, CNEH, Stamps, Total amount.
• Technical Visit Center: Name or reference of the center.
• Dates: Start and end of validity of the visit.
• How: Additional notes.
• User: Identity of the user who added or modified the record.
