Adding Subcontractors
The functionalityImportation of Vehicles from subcontractorsallows you to add multiple vehicles to your database at once, by uploading a pre-formatted file, usually in Excel format. This is particularly useful for:
- The initial integration of a large fleet.
- Massive updating of information on subcontractor vehicles.
Step 1: Download and prepare the canvas
Download the canvas: The template file to fill out is available for download. This file must respect a precise format, with predefined columns, such as:
- Registration: Vehicle registration number.
- Chassis number: Vehicle chassis number.
- Subcontractor: Name of the subcontractor associated with the vehicle.
- Brand: Vehicle brand.
- Model: Vehicle model (e.g.: SEAT IBIZA, DAF PL).
- Category: Vehicle category (tractor, utility vehicle, etc.).
- Kind: Type of vehicle (utility, personal, etc.).
- DMC (Date of circulation): Date of entry into circulation of the vehicle.
- Attachment: Attachments or documents relating to the vehicle.

Respect the order of the columns: Make sure that the order of the columns in the file respects that of the canvas, in particular for the mandatory fields (Registration, Chassis number, Make, Model, DMC, etc.).
Prerequisites:This file must respect a specific format defined by the system. The columns must contain the required information (registration, serial number, etc.).
Tips for preparing the file :
- Only one value per cell.
- No blank lines.
- Compliance with date and time formats (dd/mm/yyyy hh).
Step 2: Load the file
- Once the file is completed, click onBrowseto select the file to import.
- Click onFollowingto load the file into the system.
- After loading, a summary is displayed showing the number of rows imported and the total number of rows contained in the file.
Step 3: Check the imported data
- A summary table of the imported records is displayed.
- The system indicates the number of errors, if any, as well as the number of correct records.
- Vehicle details (registration, chassis number, make, model, etc.) are visible, allowing a final check before final import.
Step 4: Import vehicles
- After checking the data, clickImportto validate and add the vehicles to the database.
- A confirmation message will appear to let you know that the import was successful.
This structure should allow simplified management of the import of subcontractors' vehicles, while ensuring proper verification of data before integration into the system.
