Import Leasing
Mass import of leasing contracts allows you to add multiple contracts in a single operation from a pre-formatted file, thus optimizing the database update process. By uploading a standardized file containing the necessary information, this method saves you from having to enter every detail manually, minimizing potential errors and saving valuable time.
This process is particularly useful when integrating new contracts or for a collective update. The pre-formatted file, usually in Excel format, follows a clear structure with predefined columns (amounts, dates, conditions, partners, etc.) to ensure that each information is correctly classified and ready for import.
Mass importation thus offers a fast and precise solution for keeping contractual data up to date, facilitating more efficient management of the fleet and its financial commitments.
There are two import options to simplify leasing contract management. The first,Importing leasing contracts, allows you to add several contracts at once via a pre-formatted file. The second,Canvas for the allocation of leasing contracts to vehicles, helps you easily associate each contract with the corresponding vehicle, following a precise model for rapid and precise integration into the system.
Step 1: Download and prepare the canvas
Start by downloading theleasing contract template: a template file is available and must be completed in accordance with a precise format, with predefined columns (see the example in screenshot). This file includesrequired fields marked in red, such as:
- Contract number (MANDATORY),
- Dealer (MANDATORY),
- Leasing company (MANDATORY),
- Contract date (MANDATORY),
- Collection start date (MANDATORY),
- Collection end date (MANDATORY),
- Amount of direct debit excluding tax (MANDATORY),
- Amount of direct debit including tax (MANDATORY).
Important: The order of the columns must be scrupulously respected, particularly for mandatory fields. Any change in the order of the columns may cause errors during import.
Step 2: Load the file
Once the file is completed and verified, proceed to upload it by following these steps:
- Click onBrowseto select your file to import.
- PressFollowingto start loading.
- Aloading summaryis displayed, showing the number of lines imported and the total number of lines present in the file. This summary allows you to check whether all the information has been taken into account.
Step 3: Check the imported data
After loading the file:
- Asummary tabledisplays all imported leasing contract records.
- The system indicates thenumber of errors detected, if applicable, and thenumber of correct records.
- The details of each contract, such as Contract Number, Dealer, Leasing Company, Contract and Collection Dates, as well as the Amounts excluding VAT and including VAT, are visible. This allows a final check before final import to avoid inconsistencies.
Step 4: Import leasing contracts
Once the data has been verified and any errors corrected:
- Click onImportto validate and add leasing contracts to the database.
- Aconfirmation of successinforms you that the import was successful.
By following these steps, you ensure rapid and accurate integration of leasing contracts, thus simplifying the management and monitoring of your contractual commitments.
