Step 1: Preparing the File
Format Supported: The file must be in Excel (.xlsx) or CSV format.
Data Structure: The file must contain the following columns:
Required Fields:
- Collaborator: Name and first name of the employee.
- Registration number: Unique identifier of the employee.
- Delivery date: Visa issue date (format: dd/mm/yyyy).
- Start Date Validity: Start of visa validity (format: dd/mm/yyyy).
- End Date Validity: Visa expiry date (format: dd/mm/yyyy).
Optional Fields:
- Wording: Type or description of the visa.
- Passport: Reference or number of the associated passport.
- kind: Visa category (short stay, long stay, etc.).
- Attachment: Link to additional documents.
- How: Additional observations or notes.
A file template is often provided to ensure compliance with the structure.
Step 2: Import into the System
- Access the Import Tool: In the sectionVisa Management, clickImporting Visas.
- Download the Pre-Formatted File: If necessary, download the available template to guide you in data preparation.
- Load File: ClickImport a Fileand select the prepared file from your device.
Data Validation:
- The system checks the data for possible errors (missing required fields, incorrect formats, etc.).
- An analysis report is generated, listing valid records and those requiring correction.
- Confirmation: Once the data is verified, confirm the import to add the valid visas into the system.
Error Management
If required fields are missing or contain errors:
- Alert Message: The system displays a notification explaining the problems encountered (for example: "The Collaborator field is missing").
- Error Report: Upload a corrected file or directly adjust the reported errors before retrying the import.
